When a client is first added to the system, they will immediately receive a welcome email and, if a phone number is present, a welcome text message. This invites them to set up their login details and download the MyCoach app (or your branded app if you have one set up).
These messages can be edited to match your tone and branding, but there are a few important things to be aware of when making changes.
Editing Welcome Messages
✏️ EDITING EMAIL AND TEXT
To edit the welcome email and text message, click on the Account Menu at the bottom of the left sidebar (your profile picture or initials), and select Settings.
Select the Notifications tab.
At the top of the Notifications page, you will see tabs for Email and Text. You can toggle between these to edit each version of the message.
To edit the welcome email or text message, select the relevant tab and update the message content as needed.
Click Save to finish.
You can adjust the wording to suit your style, but some elements within the message are required for the system to function correctly.
CODED FIELDS
Within the message, you will see personalization fields, such as the client’s first name or activation code. These appear in a format such as: [%ACTIVATION_CODE%]
These must not be edited or removed, as they are required for the client to log in.
If a field is accidentally deleted, you can reinsert it using the personalization dropdown within the editor.
DEFAULT MESSAGE
To revert back to the default system message, click Revert to Default.
Sending Welcome Messages
Welcome messages are only sent once, when a client is first added to the system.
If a client is archived and later unarchived, the welcome message will not be sent again, as their login details have not changed.
RESENDING THE WELCOME MESSAGE
To resend a welcome message from the main client list, go to Clients, select the client, then use the Bulk Actions dropdown and select Resend Welcome Message.
To resend a welcome message from an individual client account page, go to Clients, click on the client’s name, then use the Actions button in the top right-hand corner and select Resend Welcome Message.
Program Emails
NEW PROGRAM EMAILS
There is also a separate notification called the new program email, which is sent when a client is added to a new program.
To edit the new program email, go to Notifications, select the Email tab, and choose New Program Email from the notification type dropdown.
