The Messages tab acts as your inbox, allowing you to manage conversations across all clients in one place.
This is especially useful if you are handling a high volume of messages or working as part of a team.
Using the Messages Inbox (Desktop)
INBOX, LATER, DONE
To view and manage all messages, go to Messages. You will see three tabs:
Inbox β shows active and recent conversations
Later β shows messages you have marked to deal with later
Done β shows completed conversations
By default, every client has a message thread in the Done tab. When a client sends a new message, the conversation will move to Inbox.
When a coach sends a single message to a client or a bulk message, the conversation will remain in or move to Done, unless the client replies.
MOVING MESSAGES
To mark a message as done, later, or move it back to inbox, use the available options next to the conversation. β°
From Inbox, you can move messages to Later or Done
From Later, you can move messages to Inbox or Done
From Done, you can move messages to Inbox or Later
This allows you to organize your conversations based on what needs attention.
If you cannot find a client when using the Search feature, switch to a different tab, as search results are limited to the tab you are currently viewing.
βοΈ READ/UNREAD MESSAGES
When you have unread messages, a red dot will appear on the Messages icon in the left-hand menu. Unread messages will appear highlighted, making them easier to identify.
To mark a message as read or unread, click the envelope icon, or click the ellipses menu (...) next to the message and select Mark as Unread.
You can also Filter messages to view unread conversations only.
Additional Features
π NOTES
To add a note from within a message, click the Notes icon. This will open a panel on the right-hand side.
To add a quick note, enter your text and click Save Note. To add a longer note, click the Add Note button at the top, then enter your note in the pop-up window and save it.
From the notes panel, you can also pin, edit, or delete notes as needed.
Once saved, notes will appear in the Vault tab of the client account. Notes are coach-facing only and are not visible to clients.
ADDITIONAL MESSAGE OPTIONS
To view more options for a conversation, click the ellipses menu (...) next to the message. From here, you can view their Profile or Metrics.
To open the Client Journey, click the Open icon (a square with an arrow pointing up to the right) next to the client name.
Using the Messages Inbox (App)
π² APP MESSAGES INBOX
To manage messages in the Coach Catalyst coaches app, go to the Messages tab. Here you will see the same three tabs: Inbox, Later, and Done.
To move a message between tabs or mark a message as read/unread, swipe left on the conversation, then select the relevant option .
Unlike desktop, the app will only show clients in the Messages tab once a message has been sent or received. To send a message to a client for the first time, go to Clients, select the client, and send your message. The conversation will then appear in the Messages tab.
Best Practices
To keep your inbox organized, move conversations to Done once they have been handled. If a message still needs attention, mark it as Later so you can return to it.
If you are working as part of a team, use Later or internal processes to indicate that a message still needs follow-up.
