How to send individual, bulk, and scheduled messages to clients

Messaging is a core part of the system and is designed to be flexible. You can send individual messages, send bulk messages, or schedule messages either within a program or directly on a client’s journey.

Messages can include text, PDFs, images, GIFs, emojis, and audio messages (up to three minutes). You can write messages from scratch or use pre-created templates, making it easy to reuse common responses or build structured communication into your coaching.

Sending Individual Messages

πŸ’¬ SENDING A MESSAGE (DESKTOP)

Clients can be messaged from a number of places within the software including the client index page and client account page in Clients.

Client's can be messaged on any tab that a coach would interact with a client including the Client Index Page, any of the client's account pages, and the message inbox.

  1. To send an individual message from the client list, go to Clients, then click the Chat Bubble icon next to the client’s name.

  2. This will open a messaging panel on the right-hand side.

  3. Type your message and click Send.

πŸ’‘ Clients can also be messaged from any tab where you would interact with their data (including Client Account Page, Notifications, Messages, Forms, and Metrics). Just look for the chat bubble icon.

πŸ“² SENDING A MESSAGE (APP)

You can also send a message to a client using the Coach Catalyst coaches app.

  1. Tap the Client tab and select the client.

  2. Tap the Message icon in the top right corner.

  3. Write your message as required.

  4. Press Send Message when complete.

Bulk Send Messages

SENDING A BULK MESSAGE (DESKTOP)

You can use Filters and Client Tags to search for clients.

  1. To send a bulk message, go to Clients, select one or more clients (using filters if needed), then use the Bulk Actions dropdown and select Send Bulk Message.

  2. Write your message as required.

  3. Press Send Message when complete.

From here, you can write your message (and add files, images, and GIFs). You can use the personalization drop down to add first name or last name.

You can also add or remove clients from the recipient list before sending.

Scheduled Messages

πŸ“† SCHEDULING A MESSAGE FOR A CLIENT

  1. To schedule a message for an individual client, go to Clients, click on the client’s name, then go to the Journey tab.

  2. Click the Plus for the required date and choose Add a Message.

  3. Select an existing message or choose Create New from Scratch.

  4. Choose the Time you want the message to send (and whether you want the message to repeat).

  5. Press Add Message to finish.

You can choose whether to save new messages to the Global Element Library for future use.

πŸ“š ADDING SCHEDULED MESSAGES TO A PROGRAM

To schedule messages within a program, go to Programs, open the relevant program, then click the plus icon and select Add Message.

You can place messages on specific days (for example, day 3, day 10, or day 28), either by creating a new message or selecting from existing templates.

Using the Message Editor

DESKTOP MESSAGE EDITOR

Within the message editor, you have several options:

  • To attach files to a message, such as PDFs, click on the Paperclip icon πŸ–‡οΈ

  • To upload images to a message, click on the Image icon πŸ–ΌοΈ

  • To add GIFs and emojis to a message, use the GIF option or click on the Emoji icon 😊

  • To use a message template within a message, click on the Message icon πŸ’¬

  • To record an audio message (up to three minutes), click on the Microphone icon πŸŽ™οΈ

To reply within a thread or delete a message, click the ellipses menu (…) next to the message, then select Reply or Delete.

To react to a client message, click on the Emoji icon next to their reply and select a reaction. πŸ‘πŸ€£πŸ’ͺπŸ”₯β€οΈπŸ‘Ž

Note: You can reply to client messages, but you cannot delete messages sent by a client.

πŸ“² APP MESSAGE EDITOR

To upload a file, choose a photo or video from your library, take a new photo or video, or add a GIF, tap the Plus icon next to the message field, then select the relevant option.

To record an audio message (up to three minutes), tap the Microphone icon, record your message, then press the send icon.

To React to a message, Reply within a thread, Copy, or Delete a message, press and hold the message, then select the relevant option.

πŸ”— ADDING LINKS TO MESSAGES

To include a clickable link in a message, you must use the full URL. For example: https://www.example.com

Shortened versions (such as example.com) will not work correctly, and your clients will not be able to open the link from the message.
