Clients can be added to Coach Catalyst in several ways. You can add a single client manually, upload multiple clients using a CSV file, or automatically add clients through Payments, Growth Catalyst CRM, or Zapier.
Manually Adding Clients
➕ ADDING A SINGLE CLIENT
To add a client to Coach Catalyst, go to Clients and click on the Add Client button in the top right corner.
In the left panel, enter the client’s First Name, Last Name, and Email Address. These fields are required to create the client account.
You can also add the client’s Phone Number if you want them to receive a welcome text, and set their Time Zone if you know it. The client can update their own time zone later if needed.
Under Optional Actions, you can also choose to assign them to a program, set the program start date, add a client tag, assign them to a coach, add them to a community, and/or assign resource folders.
Press Create Client to finish.
➕ BULK ADD MULTIPLE CLIENTS
To bulk add clients, go to Clients and click on Add Client.
In the right hand panel, upload a CSV template by dragging it into the upload area or clicking to browse. The CSV file should include first name, last name, email address, country code, and phone number.
After uploading your CSV, you will be asked to match the columns in your file to the correct client fields.
On the next screen, you can apply optional settings to the uploaded clients, including program, program start date, client tag, coach, community, resource folder, and time zone.
Please note that these settings will apply to all clients in the upload. For example, if you select a program or resource folder during the upload, all clients in that CSV will be assigned to the same program or resource folder.
Automating Adding Clients
💵 PAYMENTS
Clients can also be added automatically when they purchase a product in Payments.
When setting up a product, choose Coach Catalyst Program as the fulfillment type and choose what should happen after purchase. For example, you can assign the client to a program, add a client tag, add them to a community, assign resource folders, or assign them to a coach.

GROWTH CATALYST CRM
If you use Growth Catalyst CRM, you can automatically add or update clients in Coach Catalyst using the Marketplace App and workflows.

⚡ ZAPIER
You can also add or update clients automatically using Zapier. This is useful if you want to connect Coach Catalyst to another platform or trigger client creation from an external system.

Notes
📧 WELCOME EMAIL
When a client is first added to Coach Catalyst, they will receive a welcome email inviting them to set up their account. If you add their phone number, they will also receive a welcome text.
This welcome email and text are only sent the first time the client is added to the system.
➕ AUTO ASSIGN
If you are the Primary Admin to the Coach Catalyst account, you will always be added to every client automatically, so you will not need to add yourself.
All clients are automatically added to the General Community and any auto-assign Resource Folder, so you do not need to select these manually.
⚠️ EMPTY DROP DOWNS
If a dropdown is empty, it usually means that item has not been created yet. For example, you will only see programs, client tags, communities, coaches, and resource folders if they already exist in your account.
